Brokerage decision guide

Best CRM for real estate

I choose a CRM around the lead handoff, the agent's working day and the reporting the brokerage can maintain.

Start with the workflow

Match the system to the brokerage

The best real estate CRM is the one your brokerage can use to capture enquiries, assign an owner and follow up consistently. I compare GoHighLevel, HubSpot, Salesforce, Follow Up Boss, Zoho CRM and Pipedrive by operating fit, with a practical shortlist for different team sizes and markets.

My first decision

If follow-up and appointments are the main gap, I start by evaluating GoHighLevel. If agents need a real estate-focused daily workflow, I include Follow Up Boss. If marketing and sales need one shared operating view, I include HubSpot.

I bring Salesforce into complex governance and data-model discussions, Zoho into configurable operational briefs, and Pipedrive into focused pipeline discussions. These are starting hypotheses for a trial. I do not assign invented scores or declare a universal winner.

Use the same trial for every vendor

Send a test enquiry from a real lead source, check the first acknowledgement, assign and reassign an agent, record a reply, book a viewing, suppress further automation and reconcile the report.

Ask the vendor to demonstrate this with the edition and integrations you would actually buy.

Lead operations

Capture, response and messaging

These are the evaluation questions I take into a demo. Edition access, connectors and communication availability change; verify the current setup with each vendor.

Lead capture, speed-to-lead and communication fit
CRMPortal and ad lead captureSpeed-to-lead automationWhatsApp and SMS checks
GoHighLevelUseful when lead forms, campaign follow-up and appointments are central to the brief. Prove each portal intake route.Workflow-led follow-up is a natural starting point. Define assignment, quiet periods, stop conditions and failure handling.Evaluate its communication setup against your WhatsApp and SMS needs. Verify current channel, number, region and usage requirements.
HubSpotStrong candidate when marketing forms, campaign context and sales handoff need a shared record. Portal intake needs its own proof.Useful for marketing-to-sales handoffs. Check the edition needed for routing and automation complexity.Check the supported WhatsApp setup and SMS integration for your edition and geography; do not assume every channel is bundled.
SalesforceA candidate for several lead sources, custom objects and controlled intake. Budget for data modelling and integration delivery.Flexible assignment and automation suit complex rules when an administrator owns them.Design messaging around supported products or partners. Confirm region, permissions, logging and total usage cost.
Follow Up BossA real estate-focused candidate for lead distribution and agent follow-up. Verify each source and portal against the current supported route.Useful to evaluate with agent response, reassignment and follow-up scenarios. Test specialist rules before assuming coverage.Assess calling and texting against your market requirements. For WhatsApp, verify the current supported integration and conversation logging.
Zoho CRMA candidate for configurable capture and operating processes. Map portal fields and deduplication before adding custom modules.Workflows can support ownership and task rules. More custom behaviour creates more administration.Verify the exact WhatsApp or SMS channel, provider, region and edition. Test inbound replies as well as outbound sends.
PipedriveA candidate for a clear deal pipeline fed by forms and supported connectors. Portal intake may need an integration layer.Good to evaluate for simple stage-based actions. Check advanced routing and campaign requirements separately.Often requires a chosen communications integration. Prove message history, opt-out handling and agent access in the intended setup.
Operational fit

What each choice asks you to own

I assess ease of use by watching agents complete a task, and reporting by reconciling a source enquiry to an appointment and a closed deal. A long feature list cannot substitute for those checks.

AI fit, property workflows, agent management, reporting and cost model
CRMWhere I shortlist it and AI fitPipeline and management checksCost model to quoteStrength and tradeoff
GoHighLevelI shortlist it for campaign-to-appointment operations and repeatable follow-up. Prove AI voice or chat context, stop rules and human handoff in the chosen setup.Keep property details and multiple buyer interests structured. Test team permissions, reporting definitions and complex inventory requirements early.Account or agency subscription model, plus applicable communication, AI, integration and setup costs. Confirm current limits. Can be an efficient operating choice for a marketing-led team; property inventory and complex brokerage reporting need deliberate design.
HubSpotI shortlist it when marketing attribution, sales activity and service handoffs matter together. Test required AI and communication tools in the intended edition.Check how contacts, companies, deals and any custom data will represent buyers, owners, properties and projects.Seats and product hubs, plus applicable marketing-contact capacity, automation tiers, add-ons and services.A coherent marketing and sales workflow is a strength; combining editions and specialised property needs can add cost and configuration.
SalesforceI shortlist it for complex multi-office governance, integrations and permissions. Evaluate AI agents as a controlled system with clear access boundaries.A configurable data model can represent projects, properties and deals, but someone must maintain it and the reporting model.User licences and editions, plus applicable products, consumption, partner apps, implementation and ongoing administration.Flexibility and governance are strengths; delivery effort and daily usability need active management.
Follow Up BossI shortlist it when agents need a real estate-oriented working day. Test external AI handoffs and updates against the supported integration surface.Evaluate agent distribution, response activity and management visibility with your own workflow. Prove off-plan inventory requirements separately.User or plan subscription model, with current calling, integration and service terms to verify.A specialist agent workflow is a strength; highly custom off-plan, cross-department or enterprise data structures may need other systems.
Zoho CRMI shortlist it when a team wants configurable processes and can own the administration. Test AI-agent integration and field writes with actual permissions.Modules and workflows can support tailored property processes. Keep the design small enough for agents to use consistently.Per-user editions, plus applicable suite products, communications, connectors, customisation and support.Configuration choice is a strength; the same choice can create a fragmented experience without an accountable owner.
PipedriveI shortlist it when salespeople need clear next actions and visible deals. Prove any AI or campaign layer through its chosen connector.Separate off-plan and secondary stages where needed. Test project inventory, access rules and management reporting beyond the basic pipeline.Per-seat subscription and edition, plus applicable lead-generation, campaign, communication and integration add-ons.A focused pipeline can be easy to teach; richer marketing operations and complex brokerage data may require additional tools.

For AI voice and chat, I require the same contact identity, clear field permissions, an auditable outcome and a human owner. Test failed bookings, duplicate leads, opt-outs and a prospect who changes their property brief. Confirm which capabilities are native, which are integrations and who supports each part.

UAE portal routing

Prove the entire enquiry path

Capture the useful fields

I ask how a portal delivers enquiries under your account: supported connector, API, webhook, structured email or export. Preserve the source lead ID, portal, listing reference, timestamp, enquiry text, contact details and any available permission context.

Assign without losing context

Normalise international phone numbers, deduplicate the person and preserve each property enquiry. Test language, project, listing agent, availability, round-robin rules and fallback ownership. Decide how a second enquiry reaches the existing agent.

Make failures visible

Define retries, a failed-intake queue, alerts and an accountable integration owner. Test expired credentials, changed listing references, incomplete phone numbers and after-hours enquiries. I claim no specific UAE portal integration here.

Off-plan and secondary need different evidence

For off-plan, I test project and unit relationships, buyer preferences, reservation status and the developer handoff. For secondary sales, I test the relationship between owner, listing, buyer enquiry, viewing and offer. I keep contact history while allowing multiple deals and interests.

Decide where property inventory is authoritative. A CRM can coordinate a deal while a separate listing or inventory system owns availability. Make the synchronisation rule explicit so agents do not promise a unit based on stale data.

Brokerage shortlist

Which one for which team?

These are my trial shortlists by market and operating complexity. Small, growing and multi-office describe how work is managed, without implying a vendor limit or a measured regional ranking.

Starting shortlists for the UAE, Canada, UK and USA
MarketSolo or small teamGrowing brokerageMulti-office brokerage
UAEStart with GoHighLevel or Zoho if follow-up or configurable operations dominate. Prove portal intake and WhatsApp replies.Compare HubSpot, GoHighLevel and Zoho using agent assignment, language, off-plan and secondary scenarios. Include Follow Up Boss if its workflow fits and sources can be proven.Evaluate Salesforce or a governed HubSpot or Zoho design. Prove multi-office access, property relationships and integration ownership.
CanadaCompare Follow Up Boss for the agent workflow and Pipedrive for a simple pipeline. Verify the actual lead sources.Add HubSpot or GoHighLevel when marketing handoff and follow-up are the central problem. Test calling and messaging in your region.Consider Salesforce, HubSpot or Zoho when several offices and systems need shared definitions and reporting.
UKCompare Pipedrive or Zoho for the sales workflow. Verify the relationship to existing agency, listing and property-management software.Compare HubSpot for marketing context and GoHighLevel for follow-up. Keep portal enquiry intake and existing property records in the trial.Evaluate Salesforce, HubSpot or Zoho with branch access, data ownership and the existing agency stack in view.
USACompare Follow Up Boss for a real estate-focused day and Pipedrive for a focused pipeline.Compare Follow Up Boss, GoHighLevel and HubSpot using lead distribution, follow-up and campaign handoff scenarios.Evaluate Salesforce or a governed HubSpot or Zoho design for complex operations; retain Follow Up Boss on the shortlist if specialist agent adoption is the priority.

For every market, verify local phone and messaging availability, language needs, data requirements and the obligations relevant to your operation before rollout. Regional fit depends on the actual accounts and integrations you will run.

Methodology and implementation

Make the shortlist earn its place

This is an editorial decision guide based on workflow criteria, not a benchmark or a live feature audit. I would validate the current product, edition and contract against the same acceptance checklist before recommending a purchase.

Define the operating brief

List lead sources, owners, required response steps, property relationships and reporting definitions. Decide who will administer the CRM after launch.

Build the intake proof

Use your actual portal and ad payloads. Test field mapping, duplicate handling, attribution, failed delivery and fallback assignment.

Run an agent-day trial

Ask an agent to return an enquiry, log a reply, book a viewing, move a deal and find the next task. Test mobile access and manager permissions.

Test communication and AI boundaries

Confirm number ownership, inbound replies, communication preferences, stop rules and human handoff. Run a failed booking and a reassignment case.

Quote the whole cost model

Use the same seat count, contact volume and expected channel usage for every quote. Add integration, migration, training, support and ongoing administration.

Migrate and reconcile

Clean a small export first, verify contact and property relationships, check history and permissions, then reconcile a report to known records. Keep a rollback copy.

Launch with ownership

Document routing rules, failure alerts, report definitions and escalation paths. Review adoption and data quality with named owners before expanding automation.

Questions

Real estate CRM FAQs

Which CRM is best for a real estate brokerage?

I shortlist by workflow. GoHighLevel suits a follow-up automation brief; Follow Up Boss suits a real estate agent workflow; HubSpot suits connected marketing and sales; Salesforce suits complex governance; Zoho suits configurable operations; Pipedrive suits a focused deal pipeline. I test the shortlist with real lead and agent scenarios before choosing.

Which CRM should a UAE brokerage consider?

I start with portal lead delivery, phone-number normalisation, WhatsApp requirements, owner assignment and separate off-plan and secondary workflows. Any shortlisted platform must prove the actual portal-to-CRM route. I do not assume a native integration with a UAE portal.

Does every CRM integrate directly with property portals?

No. A portal may offer a supported connector, an API or webhook, structured email leads or another export method. Availability can depend on the portal contract, geography and CRM edition. Ask for a live test using your own lead payload and account access.

Can I use AI voice and chat agents with these CRMs?

Potentially, through supported native tools, connectors or custom integrations. I check current edition access, contact context, field updates, suppression rules, assignment, audit history and human handoff. A working booking demo alone does not prove that the CRM integration is complete.

How should I compare CRM costs without relying on a headline price?

Build a cost worksheet covering users, accounts, editions, marketing contacts, messaging and call usage, AI usage, connectors, migration, administration and training. Ask each vendor to quote the same operating scenario and separate recurring charges from setup work.

Should off-plan and secondary sales share a pipeline?

I use a shared contact record where appropriate and separate deal structures when the stages differ. Off-plan may need project, unit, reservation and developer handoffs. Secondary sales may need owner, listing, valuation, viewing and offer stages. One contact can have several property interests without overwriting earlier enquiries.
